1. Who we are

TarmacSync is airport procurement intelligence software built for U.S. airport teams. The service helps airport teams evaluate purchase needs, possible buying routes, missing information, internal decision readiness, and related documentation needs. TarmacSync is not a procurement system of record, legal advisor, grant consultant, or FAA approval authority.

2. Information we collect

We may collect the following categories of information:

• Contact information: name, title, airport or organization, work email, phone number, and inquiry details.
• Service and demo information: purchase scenarios, goals, airport type, general funding context, and feedback you voluntarily provide.
• Account information: login credentials, user role, preferences, and authentication metadata if accounts are enabled.
• Airport-provided materials: procurement policies, purchasing thresholds, example purchase requests, contract references, board memo examples, or other files voluntarily shared for service configuration or testing.
• Technical information: IP address, browser type, device information, pages visited, referral source, approximate location, timestamps, and diagnostic logs.
• Communications: emails, meeting notes, support requests, survey responses, and other messages exchanged with TarmacSync.

3. Information we do not intentionally request

Please do not submit classified information, sensitive security information, law-enforcement-sensitive information, export-controlled material, protected personal information, payment card numbers, social security numbers, health information, or confidential third-party data unless a separate written agreement with TarmacSync specifically authorizes that exchange.

4. How we use information

We use information to:

• Respond to inquiries and schedule demonstrations.
• Evaluate whether an airport is a good fit for the service.
• Configure, test, and improve TarmacSync’s purchase-guidance workflow.
• Provide product support and communicate about the service.
• Analyze website performance, reliability, and product usage.
• Protect the service from misuse, security threats, and unauthorized access.
• Maintain business records and comply with applicable legal obligations.

5. AI and product improvement

TarmacSync may use AI-enabled tools to process purchase scenarios, summarize text, identify missing information, and generate draft planning outputs. We may also review user feedback and product activity to improve accuracy, clarity, and workflow design.

We do not intend to use airport-provided materials to publicly identify an airport, disclose confidential airport information, or train public-facing marketing materials without permission. Any production use of airport materials for model training, benchmarking, or case studies should be governed by a separate written agreement.

6. Cookies and analytics

We use Vercel Web Analytics for basic operational traffic analysis (pages visited, approximate location, device type, referral source, timestamps). We also measure a limited set of non-sensitive website interactions, such as report-link clicks, report-request steps, evaluation-guide clicks, and booking-intent clicks. Vercel Web Analytics operates without cookies and does not use advertising, retargeting, or cross-site behavioral tracking. Our lawful basis for this analytics is legitimate interest in operating and improving the website. You can restrict or object to analytics processing by using your browser’s do-not-track or blocking settings, or by contacting us at the address below.

7. Service providers

We may share information with trusted service providers that help us operate the website, host the product, provide email, manage authentication, process analytics, schedule meetings, store files, monitor errors, or support AI functionality. These providers are authorized to use information only as needed to provide services to TarmacSync, subject to their own terms and privacy commitments.

8. How we share information

TarmacSync does not sell personal information or share personal information for cross-context behavioral advertising, as those terms are defined under applicable privacy laws. We may share information:

• With service providers supporting TarmacSync operations.
• With your permission or at your direction.
• To comply with applicable law, legal process, or enforceable governmental request.
• To protect TarmacSync, users, airports, or the public from fraud, security threats, or misuse.
• As part of a business transaction such as merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.

9. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, or disclosure. No internet-based service is completely secure. Airports should avoid submitting highly sensitive materials unless security requirements have been reviewed and agreed in writing.

10. Data retention

We retain information for as long as reasonably necessary to provide the service, improve the product, comply with legal obligations, resolve disputes, and maintain business records. Participants may request deletion or return of certain materials, subject to legal, security, backup, and recordkeeping limitations.

11. Public-sector records

Some airport sponsors are public entities subject to public-records or freedom-of-information laws. TarmacSync cannot guarantee that information exchanged with a public airport will be exempt from disclosure under applicable law. Airport users should consult their own counsel before sharing sensitive or confidential records.

12. Your choices

You may contact TarmacSync to request access to, correction of, deletion of, or restriction of personal information associated with you. You may also unsubscribe from non-essential communications. Certain information may need to be retained for security, contractual, public-records, backup, dispute-resolution, or legal purposes.

How to submit a request. Email contact@tarmacsync.com. Do not include passwords, payment information, government identification numbers, or sensitive airport information in the initial request.

Verification and non-retaliation. TarmacSync may need to verify a requester's identity before completing a request. Requesters will not receive discriminatory treatment for exercising an applicable privacy right.

13. Children’s privacy

TarmacSync is intended for professional and business use by airport teams. It is not directed to children under 13, and we do not knowingly collect personal information from children.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and may provide additional notice where appropriate.
